Privacy Policy

What we collect depends on the form you use. Partnership applications are separate from School Student, College Student, Member, Volunteer, Teacher, and Child Admission applications.

New non-partnership applications (School Student, College Student, Member, Volunteer, Teacher, and Child Admission) may collect:

• Name (child’s name for Child Admission)
• Date of birth
• Parent / guardian names (and, for Child Admission, guardian relationship and guardian name where required)
• Mobile number
• Email address, where you choose to provide it (email is optional on these forms)
• Address and related location details (village/town and PIN code; Child Admission also collects post office, police station, and district)
• Application, education, or professional details required for that form (for example school or college, class, subjects, occupation, education, teaching availability)

New non-partnership applications do not collect:

• Aadhaar number
• Blood group
• Applicant photograph
• Teacher photograph
• Child photograph
• Birth certificate

Partnership applications are processed on a separate form and may collect organisation and contact details, partnership purpose, and supporting or identity documents according to the Partnership application process (including, where that process asks for them, documents such as identity proof, Aadhaar / equivalent, PAN, or GST). Partnership does not follow the same document rules as the non-partnership application forms above.

This website may also collect messages or enquiry details submitted through the public message form (message text, and name or contact if you provide them). Those messages are stored for administrative review.

Authorised administrators may publish directory profile photographs on public faculty or similar directory pages. Those photographs are uploaded through the administrative directory tools; they are not collected from the public non-partnership application forms.

HopeLife Foundation uses submitted information for:

• Application processing and record-keeping
• Administrative review of applications
• Maintaining membership, volunteer, teacher, student, child-admission, and partnership records
• Helping prevent duplicate or false applications
• Contacting you about an application using the mobile number or email you provided, where staff do so outside this website
• For Partnership applications, reviewing supporting documents where the Partnership process requires them

Child Admission applications are submitted by a parent or guardian and may include information relating to a child or minor, such as the child’s name, date of birth, parent/guardian names, mobile number, email where provided, and address. This information is processed for admission and application administration.

New Child Admission applications do not collect a child photograph or a birth certificate through this website.

Application submissions, public messages, and related records are stored in the application’s database. Uploaded Partnership documents and any remaining historical application files are stored in the website’s upload directories. This website does not email application submissions or attach application files to email.

Controls that are implemented in this project include:

• Authentication for administrative access to applications and documents
• Upload type / MIME validation for files that are still accepted (including Partnership uploads)
• Randomized upload filenames
• Public access restrictions on sensitive upload directories
• When the site is served over HTTPS, session cookies are marked Secure and a Strict-Transport-Security header may be sent

No online system can guarantee absolute security. We do not claim encryption of database fields, third-party security certification, or other controls that are not implemented in this project.
